Create and manage inventory items — products, raw materials, and consumables.

Items

Items represent everything your company buys, manufactures, and sells — raw materials, components, finished goods, and services.

Item Types#

Creating an Item#

  1. Navigate to Inventory > Items
  2. Click + New Item
  3. Fill in the required fields:
    • Item Code — auto-generated or manually entered
    • Item Name — descriptive name
    • Item Type — Product or Service
    • Stock UOM — primary unit of measure (KG, NOS, MTR, etc.)
    • Tax Code — HSN code (for products) or SAC code (for services)

The tax code links to the tax rate configuration. Make sure the corresponding HSN/SAC code is set up in Settings > Tax Setup before creating items.

Item Categories#

Items can be organized into categories for easier management and reporting. Categories support nesting — for example, Raw Materials > Metals > Steel.

To manage categories:

  1. Navigate to Inventory > Item Categories
  2. Create parent categories first, then child categories

Item Approval#

If item approval is enabled in system settings, new items are created in Pending Approval status and must be approved before they can be used in purchase orders, sales orders, or stock entries.

Items in Pending Approval status cannot be used in any transactions. An administrator must approve them first.

Units of Measure#

Each item has a Stock UOM — the primary unit used for inventory tracking. Common units include:

  • NOS — Numbers (discrete items)
  • KG — Kilograms
  • MTR — Meters
  • LTR — Liters
  • SET — Sets

Purchase and sales transactions can use alternate UOMs with conversion factors. For example, you might purchase steel in Tonnes but track inventory in KG (1 Tonne = 1000 KG).

Item List#

The items list page supports:

  • Search — find items by code or name
  • Sort — sort by any column
  • Export — download the current view as CSV
  • Pagination — navigate through large item lists
